The main purpose of the LobbyPMS Housekeeping module is to centralize and optimize the management of room cleaning and maintenance. This system enables efficient coordination between the administrative team and operational staff, ensuring that room statuses are always up to date and synchronized with the Reservations module to provide guests with high-quality service.



Before You Begin

Before configuring the Housekeeping module, make sure you:

✓ Have administrator permissions.

✓ Have room categories configured.

How to Activate the Housekeeping Module

New users: To activate the Housekeeping module:

Step 1. Go to the Housekeeping option in the left-hand menu.

Step 2. Click on Housekeeping.



Step 3. Click on “Activate Module.”



Once the module is activated, you will be taken to the main Housekeeping view.

Before using it, go to “Settings.”

Settings

In this section, you will see 4 options:


 

General

In this section, you will find the key settings that define how the module operates. Here, you can set the automatic assignment criteria for checkout cleaning tasks, enable broadcast channel notifications, and, if needed, temporarily deactivate the Housekeeping module.

  • Create checkout cleaning task upon checkout:

    What does this option do?
    This option determines whether the checkout cleaning task, which is automatically created when a guest checks out, will be automatically assigned to a housekeeper.

Disabled: When a guest checks out, the room status changes to “Dirty”, and the assignment is handled as follows:

  • If the room already had an assigned housekeeper, that assignment will remain.
     
  • If there was no previous assignment, the task will not be assigned automatically and will remain pending for you to manage manually.

Enabled: The task will be automatically assigned to a housekeeper.

Fixed housekeeper for checkout cleaning tasks

Optional. If you select a housekeeper, all checkout cleaning tasks will be assigned to that person. If you do not select anyone, the system will automatically assign the best available housekeeper for the day.

  • Broadcast Channel Notifications: From this section, you can enable or disable the notifications that will be sent through the broadcast channel.



     
  • Deactivate Module:

This option disables the Housekeeping module.


Team  

In this section, you can configure the users who work as housekeepers. These team members must first be set up as users in LobbyPMS.

Here’s a reminder of how to create them: Manage Users, Permissions, and API



 

Clicking “New Profile” will open a new view displaying the list of users created in LobbyPMS. From there, you can activate them in the Housekeeping module.

Select the user, set the maximum daily workload for the housekeeper, and click “Create Profile.”

Once completed, the list of housekeepers registered in the module will appear. From this section, you can activate, deactivate, edit, or delete each profile as needed.


Cleaning Types and Checklists

This option allows you to configure:

  • Cleaning Types: You can configure your room cleaning types as Daily, Checkout, or Guest Request.

  • Configuration by Category: This option allows you to configure each room category based on the following:
  • Target Time: Allows you to statistically track how long housekeepers take to clean each room category and whether they meet the established target time.
     
  • Cleaning Points: This option allows you to assign a specific number of points to each room category based on the estimated cleaning time. With this configuration, you can statistically track each housekeeper’s performance and verify whether they are meeting the established targets.
     
  • Requires Inspection: Enable this option if you want an inspector or supervisor to review and approve the room after a housekeeper marks it as clean, before the cleaning process is considered complete.
     
  • Checklist Tasks: This option allows you to create a list of specific tasks for each room category. Housekeepers must complete this checklist during the cleaning process to ensure that all defined tasks have been completed.

    To add a new task, click “Add Custom Task.” The tasks you add will be available for all rooms within that category.

  • Copy Configuration: This option allows you to copy the settings from one room category to another cleaning type or apply them to all categories. This way, you won’t need to configure the target time, inspection requirements, and checklist tasks again for each one.


Mobile App for Your Team

 
What does this option do?

It allows housekeepers to work from their mobile phones without installing an app. It is a web page that can be saved to the phone and used like an app.

Access link for your team: staff.lobbypms.com

They will be able to:

  • View the day’s tasks: pending, in progress, completed, and rejected.
     
  • Start, pause, and complete the cleaning of each room.
     
  • Complete the checklist task by task.
     
  • Report incidents.
    Both housekeepers created in Team and any user with the Housekeeping permission enabled can log in. 
    All of this can also be managed from the web – including marking rooms as clean. The mobile app is an optional complement, not required.

Who Sees What in the Mobile App?

Housekeepers registered under Team will only see the rooms assigned to them.

Users who have Housekeeping permission but are not registered as housekeepers will see all rooms for the day and can start working on any room that has not already been started by someone else. The system will record who is working on the room.

If a user has both — they are registered under Team and also have Housekeeping permission — they will only see their assigned rooms.

What Notifications Does the App Send?

When your team has the app installed on their mobile phones, they will automatically receive notifications in the following cases:

  • Room Assigned: Notifies the housekeeper when a supervisor assigns them a room.
  • Task Reassigned: Notifies the housekeeper if a room previously assigned to them is reassigned.
  • Start of the Day: Notifies the team when the day’s assignments are ready.
  • Room Rejected: Notifies the housekeeper if the supervisor changes a room’s status back to Dirty.
  • Room Inspected: Notifies the housekeeper when the supervisor confirms that a room has been inspected.

Note: Each team member must enable notifications in the mobile app.

This completes the configuration of the Housekeeping module. Your team can now begin managing cleaning tasks in an organized and efficient way.
